Board Meeting – 5/2/09

MINUTES OF THE BOARD/GENERAL MEETING

DATE:    April 02, 2009

Meeting was called to order at 7:07pm by President Dean Conyers.   Minutes from March meeting were read and approved.  There was no treasurer’s report other than total assets on hand are the same as last month.

OLD BUSINESS:

Jeff reported on “Witness for the Prosecution”.  Auditions are to be held this Sunday & Monday.  Jeff stated there is a lot of interest based on phone calls he has received.   Even some of the former active people are interested in reading for a part.   There has also been some interest in people from coos Bay.  The board reviewed the budget and made some adjustments by adding $400.00 for costumes.  Jeff mentioned that there are two sets, the English style courtroom and the attorney office.  He stated that the stage revolve will be used.  They have narrowed the cast down to 12 and will be using the audience with some shills planted.  The witnesses will be positioned in the audience and the bailiff will come to the edge of the stage.  Question was raised about adding another weekend performance but that would be the July 4th weekend and commitments were made for only a two week performance.

It was noted that the by-law revision is done and copies were given to all board members.  Kathie will keep extra copies if anyone else would like it.

Piano is still at the theater and Kathie will contact Mr. Harding to see if the school still wants it.   He will be asked if he needs it to be delivered.

Lorna brought the extra flyers that have been redone and handed them out to the board members for distribution to the different businesses in the area.  Lorna has placed the flyers at McFarlin’s Bar & Grill, Chamber Office, Billy Smoothboars, Lord Bennett’s, Bandon Inn and Old Town Inn.

Dean brought up the need for us to get material to Paul for inclusion on the BPH website.  This could include photos, information on past shows, prior seasons and any info we would like included on upcoming seasons.  The web address is:  bandonplayhouse.net   Thanks to Paul for the work he is doing on updating and enhancing our website.

Kathie and Pam are trying to get a commitment from Mr. Harding and Mr. Wampler to help with the music for “Bye-Bye Birdie.”   More info will be forth coming.

The rest of the evening was spent reviewing the BPH Production Booklet.  Corrections and additions were made to improve and clarify some of the responsibilities and processes for play production.  Claudine will re-type and then present for review prior to final printing.  Thanks Claudine for all your work.

NEW BUSINESS:

Motion was made and carried authorizing Jeff to purchase a new Bunn commercial coffee maker for the theater snack bar.  Cost is not to exceed $350.00

Meeting was adjourned at 8:40pm.  There were 7 in attendance.
